In brief…

Your personal information will be held securely by Derbyshire County Council.

If you sign up to receive a newsletter from us, your information will not be used for any other purpose than to supply you with arts news and information by email. It will not be shared with other organisations or used for other purposes without your consent.

If you sign up as an artist, arts organisation or venue, your information will not be used for any other purpose than to maintain the Partnership database and will not be shared with other organisations or used for other purposes without your consent.

Your information is being collected and used to supply details of artists, arts organisations, events and venues within the artsderbyshire directory.

From time to time the Derbyshire County Council may need to contact you to update the information collected and to notify you of the services we offer. 

Keeping it under our hat

At artsderbyshire, we're committed to ensuring that all your personal information that is collected is kept private and protected, and when appropriate securely destroyed. The website is absolutely secure in the collection and use of your personal information. We follow the Data Protection Act 1998.

If you register on the site then you will be required to set your own user name and password.   When you use these to log in you will be able to edit and update all the information stored about you and what types of information, if any, you'd like to receive. The username and password are there to protect you and prevent unauthorised access.

Getting to know you

We collect personal details, such as your email address, name, and other information only when you register with us in order to have an artist, arts organizations or venue listing, or when you sign up to receive e-bulletins from us.

When you register with us, we'll need to ask you for your:

Name (to address our correspondence correctly)

Email address (to deliver information to the right place)

Postcode (to help with reporting on the profile of the visitors to the site to our funders and stakeholders)

Username (to allow your details to be stored securely)

Password (to protect your privacy)

We collect anonymised racial/ethnic origin information for the purposes of Equal Opportunities monitoring.   This is through a voluntary Equal Opportunities form that you will be offered after you have setup your username and password for the first time.  This information is anonymous and is not stored alongside your account's profile.

Why we're interested

There are lots of reasons why we want to get to know you.

We need to report on the profile of the visitors to the site to our funders and stakeholders.   This is anonymous reporting eg: we do not link your name with your postcode in our reports – we only list how many visitors from a defined location were recorded.

Occasionally we'll carry out some research on our database of people who have registered with us. We'll use this for internal purposes only. The main reason is to help us make sure that artsderbyshire provides you with everything that you - our audience - is looking for.

If you are registered as an artist, arts organization or venue, we want to be able to be able to let you know about arts advice, information and events that we think would be relevant and appropriate and that might be urgent or subject to deadlines that might not fall within the e-bulletin schedules.   In this case, we would contact you with an additional e-bulletin to make sure you receive the relevant news.

We don't collect or keep your personal data unless it is strictly necessary for the above purposes. We don't keep it for longer than is necessary, either. It is destroyed in a secure manner.

If you object at any time to receiving information from artsderbyshire then just let us know and we will sort it out.

Your secret's safe with us!

Your personal information will not be transferred to third parties, except:

  • as required by law

  • if you've requested specific information

We may use your data (eg your postcode) in order to analyse our customer base, and statistical information may be shared with third parties and other Arts Derbyshire companies - but we'll keep it anonymous.

We will never rent or sell our database to any other organisation or individual. The database may be used to process customer information and research customer's needs and preferences.

You should be aware that if our website contains links to other websites then these sites may have different privacy and security policies. We don't have any control over them, and take no responsibility for information given to non-Arts Derbyshire sites.

Safe and sure

Our website has security installed to ensure that any personal data entered onto the site is protected against loss, misuse or alteration.

However, due to the nature of the Internet, we can't guarantee the protection of your personal information and we can't be responsible for any outcomes resulting from a breach of security when the website is used.

We're confident in our security, and it is always a top priority to ensure we do not get any problems.

Keeping an eye on us!

You can request, at any time, access to the personal information we hold about you.  You can write to us at the above address requesting access to your personal information. You are entitled to be told by us, as the data controller, whether we or someone else on your behalf is processing your personal information; what personal information we hold; details of the purposes for the processing; and details of any third party to whom your personal information has been disclosed.

In the future...

This policy may change, and if it does, any changes will be identified on the artsderbyshire website. That way you'll always be fully aware of what information is collected, how it's used and under which circumstances it may be made available.
